  • VAT 404 is inconsistent about exactly R5 000 ("more than" in the text, "or more" in the table). We treat R5 000 and below as abridged, per s20(5); confirm against a current consolidation of the VAT Act.

Ordinary invoice (not VAT registered, so no VAT)
  • You are not VAT registered, so do not charge VAT or call this a tax invoice. Only registered vendors may do that.

To download, add: your business name, date, at least one line item, customer name.

Made in your browser. Nothing is uploaded or saved, and refreshing the page clears it, so keep a copy of every invoice you send.

General information, not tax advice. KayaHustle gives general information based on SARS's published rates, guides and FAQs for 2026/27 and the VAT Act and the Income Tax Act. It is not tax, legal or accounting advice, it is not SARS or the CIPC, and it does not create a professional relationship. Results are estimates that depend on what you enter; SARS decides your actual tax. Invoices and quotes are templates: you are responsible for their content. For advice on your business, speak to SARS or a registered tax practitioner. You are responsible for the content of your invoices and for charging VAT only if you are registered.

What every invoice should show

  • Your business or trading name and how to contact you.
  • The customer's name.
  • A unique invoice number (number them in order) and the date.
  • What you sold or did, the quantity and the price.
  • The amount due, when it is due and how to pay you.

Extra details on a tax invoice

If you are a registered VAT vendor, a tax invoice must also show the words "tax invoice", "VAT invoice" or "invoice", your address and VAT number, and the VAT (shown separately, or a statement that the total includes VAT at 15%). Over R5 000 it must also show the customer's address and VAT number. See what must be on a tax invoice.

Getting paid faster

  • Agree the price in writing first: send a quotation.
  • Put your bank details and a payment reference in the notes.
  • Set a clear due date and follow up the day after it passes.

Frequently asked questions

Can I issue an invoice if I am not registered for VAT?

Yes. Any business can send an invoice asking to be paid. If you are not a registered VAT vendor, do not add VAT, do not show a VAT number and do not call it a tax invoice. Choose "No" under VAT and the generator does this for you.

What is the difference between an invoice and a tax invoice?

An invoice is any document asking for payment. A tax invoice is the document a VAT vendor must issue for a taxable supply; it must show the details in section 20 of the VAT Act so the customer can claim the VAT back. SARS's VAT 404 guide sets out both.

When do I need a full tax invoice?

When the total including VAT is more than R5 000. A full tax invoice also needs the customer's name, address and VAT number (if registered) and the quantity supplied. For R5 000 or less an abridged tax invoice is enough, and under R50 no tax invoice is required.

When must I issue a tax invoice?

Within 21 days of making the supply, and keep a copy for at least 5 years (VAT 404).

Is my information saved or uploaded?

No. The invoice is built in your browser and the PDF is created on your device. Nothing is sent to us or stored, so download or print a copy before you close the page.

When do I have to register for VAT?

When your taxable sales in any 12 months are more than R2 300 000 (from 1 April 2026), or you expect them to be. You may register voluntarily above R120 000. Use the VAT registration checker.
